Privacy Policy

Last updated: [20/10/2026]

Firing Minds Tutoring (ABN [82 252 365 262]) ("Firing Minds", "we", "us") provides online maths tutoring to students in Years 7–10. Most of the people we work with are children, so we take extra care with their information. This policy explains what personal information we collect, why, and how we protect it.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

1. Who this policy covers

This policy applies to parents and guardians who enquire with or enrol with us, students who attend our sessions, people who visit our website, and people who apply to tutor with us.

We deal directly with parents and guardians. If your child is under 18, we ask you, not your child, to give us their information and to make decisions about it.

2. What we collect

About parents and guardians: name, email address, phone number, billing details, and messages you send us.

About students: first and last name, year level, school, information about their maths progress and learning needs, diagnostic and practice results, and work they complete in sessions.

Information you choose to share: some families tell us about a learning difficulty, disability or health condition so we can support their child. We only collect this with your consent, use it only to support your child's learning, and limit who can see it.

During online sessions: your child's name, voice, image and chat messages are visible to their tutor and to the other students in their pod (up to three others, or up to nine others in a bootcamp group). We do not record sessions unless you have given written consent (see section 6).

Payments: card payments are processed by Stripe. We do not see or store your full card number.

Website data: our website is hosted by Squarespace, which collects standard technical information such as your IP address, browser type and the pages you visit, using cookies. See section 9.

You can choose not to give us some information, but we may then be unable to place your child in a suitable pod or provide our services.

3. How we collect it

We collect information when you complete our enquiry or booking forms, email or call us, pay through Stripe, attend a free trial or session, and when your child completes work in sessions or in our online learning materials. We do not buy personal information, and we do not collect information about your child from your child's school.

4. Why we use it

We use personal information to:

  • respond to your enquiry and arrange a free trial

  • place your child in a pod with students at a similar level

  • plan and deliver tutoring and track your child's progress

  • give tutors the information they need to teach your child

  • take payments, issue receipts and manage make-up sessions

  • train and mentor our tutors and improve our curriculum (using de-identified examples where we can)

  • keep students safe and meet our legal obligations

  • send you service messages, such as session reminders and schedule changes

  • send you news and offers, only if you have agreed (see section 8)

We will not use your child's information for any unrelated purpose without your consent, unless the law requires or allows it.

5. Who we share it with

We only share personal information when we need to, and only what is needed:

  • Our tutors, who receive the information needed to teach your child. All tutors hold a valid Working with Children Check and are bound by confidentiality.

  • Other students in a pod see your child's first name, voice and video during sessions.

  • Service providers who help us run the business: Squarespace (website and forms), Stripe (payments), Google (email), Zoom (online sessions) and Google Classroom [learning materials platform]. They may only use the information to provide their service to us.

  • Authorities, when the law requires it, including mandatory reporting where we believe a child is at risk of harm.

We never sell personal information, and we never share student information with advertisers.

6. Recording and images

We do not record pod sessions, 1:1 sessions or bootcamp sessions unless a parent or guardian gives written consent. If you consent, we will tell you what the recording is for, who can see it and when it will be deleted. You can withdraw consent at any time.

We will never use your child's name, image, voice or work in marketing, including testimonials and social media, without your separate written consent.

Parents and students must not record, screenshot or share any part of a session. This protects every child in the group.

7. Storage, security and overseas providers

We store information electronically using reputable cloud services. We protect it with password-protected accounts, two-factor authentication where available, and access is limited to the people who need it.

Some of our service providers, including Squarespace, Stripe, Google and Zoom, may store information on servers outside Australia, including in the United States. We choose providers with strong security practices and take reasonable steps to make sure they handle information consistently with the Australian Privacy Principles.

We keep student records while your child is enrolled and for up to [2] years afterwards, unless the law requires us to keep them longer. After that we securely delete or de-identify them. Financial records are kept for the period required by tax law.

If a data breach is likely to cause serious harm, we will notify the affected families promptly and tell them what they can do to protect themselves.

8. Marketing

We only send marketing emails or messages if you have agreed to receive them. Every marketing message identifies Firing Minds and includes an easy way to unsubscribe, and we act on unsubscribe requests within five working days. Unsubscribing from marketing does not stop service messages about sessions you have booked.

9. Cookies and website analytics

Our website uses cookies set by Squarespace to make the site work and to understand how visitors use it. You can refuse or delete cookies in your browser settings. Some parts of the website may not work properly if you do. We do not use cookies to show advertising to children.

10. Accessing and correcting your information

You can ask to see the personal information we hold about you or your child, or ask us to correct it. Email us at firingmindstutoring@gmail.com. We will respond within 30 days and will not charge you to make a request. If we cannot give you access, we will explain why.

You can also ask us to delete your child's information once you no longer use our services, unless we need to keep it by law.

11. Complaints

If you have a privacy concern, please email us first at firingmindstutoring@gmail.com. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

12. Changes to this policy

We may update this policy as our services or the law change. We will post the new version on our website with the date it takes effect, and email enrolled families about any significant change.

Terms and Conditions

Last updated: 20/10/2026

These terms apply when you book a free trial, pod session, term subscription, 1:1 session or bootcamp with Firing Minds Tutoring, ABN (82 252 365 262) ("Firing Minds", "we", "us"). By booking, you confirm you are the student's parent or legal guardian, or an adult student, and that you agree to these terms on the student's behalf.

Your consumer rights. Nothing in these terms excludes, restricts or changes your rights under the Australian Consumer Law. Our services come with guarantees that cannot be excluded, including that they will be provided with due care and skill. If anything in these terms conflicts with those rights, your rights under the Australian Consumer Law apply.

1. Our services

Pods. Small-group online maths sessions of up to 4 students, led by a tutor trained and mentored by Skye Holmwood. Each session runs for one hour and follows our curriculum for the student's year level.

Term subscription. One pod session a week for a 10-week school term, plus weekly Friday drop-in sessions and access to our online learning materials and videos.

Friday drop-ins. A one-hour online question session included with the term subscription. Drop-ins are not included with casual weekly bookings.

1:1 sessions with Skye. Individual online sessions, available by waitlist.

Bootcamps. Short holiday programs, such as the 3-day Year 6 to 7 bootcamp, run online in groups of up to 10.

All sessions are delivered online through Zoom. We aim to keep your child in the same pod, with the same tutor, at the same time each week. Occasionally we may need to change a tutor, time or pod. If we do, we will tell you in advance where possible and offer a suitable alternative. If no alternative suits you, you can cancel and receive a refund for sessions not yet delivered.

2. Free trial

Your first pod session is free, with no obligation to continue. One free trial applies per student. We do not ask for payment details to book a trial.

3. Missed sessions and make-ups

  1. Notice of absence. If a student cannot attend a scheduled pod session, the parent or guardian should try to notify Firing Minds Tutoring at least 24 hours before the session starts.

  2. Make-up sessions. Where notice is given in accordance with clause 1, Firing Minds Tutoring will offer the student a make-up place in another pod at the same year level, subject to availability.

  3. Where no make-up place is available. If no suitable make-up place is available, Firing Minds Tutoring will provide the session materials so the student can catch up independently. The student may also bring any questions about the missed content to the weekly Friday drop-in session.

  4. Term subscribers. Students enrolled on a term subscription may use up to three (3) make-up sessions per term. Make-up sessions must be used within the same term and do not carry over to future terms.

  5. Late notice and non-attendance. If less than 24 hours’ notice is given, or the student does not attend without notice, the session is forfeited and no make-up session, refund or credit will be provided. [Session materials will still be made available.]

  6. If we cancel. If we cancel or cannot run a session, for example because a tutor is unwell, we will offer a replacement session or a refund or credit for that session. It will not count towards your make-ups.

  7. Technical problems. If a session cannot go ahead or is significantly disrupted because of a problem on our side, we will offer a replacement session. We cannot make up for time lost because of a problem with your own internet or device, but we will send any materials your child missed.

4. Cancelling a term subscription

You can cancel your term subscription at any time by emailing us [firingmindstutoring@gmail.com]. We will refund the sessions not yet delivered, after recalculating the sessions already delivered at the casual rate of $50 each, so the term discount only applies to completed terms.

Subscriptions do not renew automatically.

5. Bootcamp bookings

If you cancel your child’s enrollment 14 or more days before the bootcamp start date, you will receive a full refund of the bootcamp fee. If you cancel less than 14 days before the start date, you will get a 50% refund of the bootcamp fee. Cancellations must be made in writing [email to firingmindstutoring@gmail.com], and the date we receive your cancellation is the date used to work out which of these applies.

Once the bootcamp has started, no refunds are given for change of mind. If your child misses one or more days of the bootcamp, we will provide all workbooks and session materials for the missed days so they can catch up.

If Firing Minds Tutoring cancels or reschedules the bootcamp, you will get a full refund of the bootcamp fee.

Nothing in these terms excludes, restricts or modifies any rights you may have under the Australian Consumer Law.

6. Refunds and your rights

We do not give refunds for a change of mind, except as set out in sections 5 and 6. This does not affect your rights under the Australian Consumer Law. If our services are not provided with due care and skill, or are not what we promised, contact us and we will put it right, which may include a refund.

We help students build skills and confidence, but every student learns differently. We cannot guarantee particular marks, grades or results.

7. Online sessions

You are responsible for providing a device with a working camera, microphone and a stable internet connection.

To keep sessions safe:

  • Students should join from a shared or open space in the home, not a bedroom with the door closed, where possible.

  • A parent or guardian should be at home and contactable during every session.

  • Students should have their camera on at the start of each session so the tutor can confirm who is present.

  • No one may record, photograph or screenshot a session or share its contents. This protects every child in the group.

8. Student conduct

We want every pod to be a place where students feel safe to make mistakes. We ask students to be respectful to their tutor and other students, keep their camera and microphone use appropriate, and keep anything other students share in a session private.

If a student's behaviour repeatedly disrupts a pod or makes others feel unsafe, we will first talk with the parent or guardian. If the problem continues, we may move the student to another pod or end their enrolment, with a refund of any sessions not yet delivered.

9. Child safety

The safety and wellbeing of every child comes first. All our tutors hold a current Working with Children Check, and they are trained in our child safety expectations. If you have any concern about a child's safety or a tutor's conduct, contact Skye directly at firingmindstutoring@gmail.com. We take every concern seriously and will report to authorities where the law requires.

10. Our materials

Our curriculum, workbooks, videos and online learning materials are owned by Firing Minds Tutoring. They are for the enrolled student's personal learning only. Please do not copy, share, sell or upload them anywhere else. Access to online materials ends when your enrollment ends.

11. Our liability

We provide our services with due care and skill. To the extent the law allows, we are not responsible for loss caused by things outside our reasonable control, such as internet outages, platform failures or events like natural disasters. Where the Australian Consumer Law allows us to limit our liability for a failure to meet a guarantee, our liability is limited to supplying the service again or paying the cost of having it supplied again.

12. Privacy

We handle personal information in line with our Privacy Policy.

13. Complaints

If you are unhappy with anything, please email us at firingmindstutoring@gmail.com. We will respond within 5 business days and work with you to fix it. If we cannot resolve it together, you can contact your state's consumer protection agency.

14. Changes to these terms

We may update these terms from time to time. We will post the updated version on our website and email enrolled families at least 30 days before any change that affects them. Changes will not apply to a term or bootcamp you have already paid for. If you do not accept a change, you can cancel and receive a refund for sessions not yet delivered.

15. Governing law

These terms are governed by the laws of Victoria, Australia.
